Why has the ProcessFlows and Konica Minolta re-structure taken place?
ProcessFlows has been a wholly owned subsidiary of Konica Minolta since 2016 and following Konica Minolta’s diversification and digital transformation strategy, we are reorganising the legal entities in order to enable a more consolidated strategy for growth and operations that deliver greater customer experiences and value.
Does my existing contract with ProcessFlows remain valid after the Transfer Date?
Yes, the obligations of your current contract will be honoured by Konica Minolta until its expiry date even if this falls after 1st September 2023. Konica Minolta will be in touch with you prior to or on expiry of your commercial contract with ProcessFlows to discuss your future requirements. However, if your contract contains a restriction on the transfer, please email our General Counsel at: legalqueries@konicaminolta.co.uk to discuss and resolve this situation.

Do I need to take any action in response to the Notice of transfer?
No. Your contract with ProcessFlows will automatically transfer to Konica Minolta under the process of an assignment and your business will continue to trade with Konica Minolta after the Transfer Date instead of with ProcessFlows. If you do not agree to the transfer of your contract, please contact your Account Manager to discuss this situation or our General Counsel at: legalqueries@konicaminolta.co.uk.
Who will be my Account Manager?
Your Account Manager will not change as a result of the transfer. If there are any subsequent changes to your Account Management team, they will be communicated to you accordingly.
What if I have a problem with my solutions and/or services purchased from ProcessFlows after the Transfer Date?
If you have a current contract, contact your current Technical Support Line during the usual hours of 8:30am – 18:00, Monday to Friday (excluding UK bank holidays) on Tel +44 (0)1962 835001/Fax +44 (0)1962 835101 or techsupport@konicaminolta.co.uk and someone will be at hand to assist you with your query.
What if I wish to terminate my contract before or as a consequence of the Transfer?
You may do so where your contract term permits, but you ought to be aware that you may be responsible to pay termination charges.
Who should I make payment to for invoices raised by ProcessFlows before the Transfer Date?
These should be made payable to Konica Minolta Business Solutions UK Limited. If you have any queries, please contact our Accounts Receivable team at credit.control@konicaminolta.co.uk You should pay within the payment terms agreed with ProcessFlows, and if you do not do so, Konica Minolta has the legal right to enforce recovery of unpaid invoices.
What if my ProcessFlows Purchase Order extends beyond 1st September 2023?
Any purchase orders raised for the provision of goods from ProcessFlows will be settled by ProcessFlows following the receipt of goods and the associated invoice prior to 31st August 2023. After the Transfer Date, Konica Minolta will be in touch to discuss the arrangement for these specific purchase orders.
My business transacts through Sofia, Bulgarian branch. Do I need to do anything different from the Transfer Date?
Konica Minolta will replace ProcessFlows as part of the business transfer in the UK, and you need take no action at this stage. You may be contacted with Sofia’s new registration details executed by the Bulgarian Authorities, and if you have any queries, please contact your current support line during the hours of 09.00 and 17.30 for continued support and advice and someone will be at hand to assist you with your query.

What are our payment terms?
The standard payment terms are 30 days from date of invoice, unless otherwise specified in your maintenance agreement. The terms can also be found on the invoice itself.
What do I need to know if I am a supplier of ProcessFlows UK?
All active vendors will be transferred to Konica Minolta as part of the transfer.
Will my invoice be paid?
All invoices prior to the transfer will be paid in a final payment run in August.
What is the payment process for supplier invoices post transfer?
After the transfer date, all invoices must be sent to: supplierinvoices@konicaminolta.co.uk
Does Konica Minolta require a PO to pay my invoices?
Yes, Konica Minolta has a no PO no Pay policy. To not delay payment please ensure you reach out to your business contact to obtain a valid PO.
Where should I send Supplier Statements to?

How will my personal data be processed under data privacy regulation?
Your data will be processed in accordance with UK GDPR obligations and the following notice is given pursuant to Article 28(2) of the UK GDPR to explain how this will work.
From the 1st of September 2023, the new data processor for the data processing activities for the delivery or purchase of services under your existing commercial agreement with ProcessFlows (UK) will change to Konica Minolta Business Solution (UK) (“New Processor”).
The New Processor will process the data for activities necessary for the continued performance of the obligations under these agreements. The purpose and types of personal data being processed will remain the same.
Konica Minolta will be bound by the same data protection obligations as ProcessFlows under the UK GDPR and as further outlined in Konica Minolta’ Privacy Policy found at: https://www.konicaminolta.co.uk/en-gb/privacy-policy.
