When & What to Outsource?

September 1, 2015

Deciding when to outsource is an important strategic business move. When routine and time consuming tasks are being handled elsewhere it leaves time and space for your organisation to grow. Your focus can return to where it’s needed without having to worry about superfluous, but necessary, business processes.

For small companies this is especially important; entrepreneurs usually try to do everything themselves and the small but time consuming tasks, that are necessary to make a business run, can take attention away from the ultimate objective – bringing new prospects into the business.

There are two common ways that companies tend to outsource: they either delegate a single component of their business or they establish outsourcing as a strategic part of their business process.

Here are few tips on when is a good time to consider outsourcing services and what could potentially be outsourced.

When?

  • Everyday tasks such as bookkeeping and administration activities start piling up
  • Customer support calls are increasing in number and you aren’t able to get to them in a timely fashion
  • You notice you have much busier periods during the year and you can take advantage of outsourcing campaigns during that time in order to manage your workload efficiently
  • The skill required is so specialised that it’s impractical to have a regular employee do it
  • The particular activity can be done in-house, but drains resources that could be better used elsewhere
  • You run a time/cost calculation it doesn’t add up.

What?

  • Accounting/Bookkeeping
  • Administrative tasks such as: answering email inquiries, scheduling, flight/hotel reservations, travel arrangements
  • Data Management – data entry, data verification, data cleansing, etc.
  • Translation Services
  • Transcription Services
  • Customer Support – especially well established outsourcing service. In cases when 24/7 coverage is required outsourcing is highly recommended
  • Receptionist responsibilities – answering simple phone inquiries, transferring calls, etc.
  • Marketing Services – creation and execution of marketing campaigns – via email, Google Adwords or any other internet based tool and method
  • Telemarketing services – cold calling, follow up on email campaigns/event invitations, sales calls, customer care calls, etc.
  • Research related tasks
  • Social Media Marketing – updating and monitoring social media pages
  • And much more…

Almost every business process can be outsourced, depending on the needs and requirements of the individual company. After you decide what you would like to outsource, the next step is finding the right partner, with a proven track record and experience in the field.
