Digital Transformation: Start Here >>

May 22, 2017

Digital transformation is here – at least if you listen to or read the hundreds of blogs, videos, and articles that keep talking about it.

But what is Digital Transformation?

For many the term simply means the digitisation of specific processes within the business – things like accounts payable, or customer on-boarding, or contracts management for example. These solutions provide point solutions that can indeed kick start a digital transformation within your business, but also run the risk of being one-off fixes.

In all of these process-driven solutions, getting content into the process is one of the key challenges. And while you can do that solution by solution – implementing a multichannel digital mailroom can do that for all of these solutions at once, and much more. This approach can truly digitally transform an organisation as all incoming and outgoing content is digital – making the digitisation of the other processes within a business much easier.

Digital Mailroom scenarios – are these familiar?

  • An insurance claim has been submitted, but it’s not yet in the adjudication system. Customer service will not be able to help when the customer calls.
  • A bank’s underwriting department is waiting for a customer document to approve the mortgage loan. The customer sent the fax successfully but it cannot be located, resulting in delays.
  • An invoice has been received by the Accounts Payable department but it is not being evaluated for payment. Potential discounts are lost, and relationships with vendors may suffer.
  • A key position remains unfilled while Human Resources waits for the hiring manager to sort through a backlog of 200 resumes and provide feedback on each.
  • A customer wants to place an order but is withholding it because there is an unanswered complaint sitting in the mailroom. No one is even aware that the problem exists.

In all of these cases the speed of capturing the information from the incoming content is the issue. Again, you could spend time implementing a solution for each – or you could look at implementing a digital mailroom to manage all of the incoming content in your business, and speed up each and every one of these processes in one go.

Oh and did I mention that it’s not just incoming content that can be managed with a digital mailroom solution, but outbound as well?

Think about it – you are getting more and more content arriving via multiple channels so don’t you think it’s high time that your business started sending content out to customers and suppliers based on how they would like to receive it? Whether it is your invoices, contracts or marketing materials – outbound mail and print management can make sure that you are providing a fantastic customer experience, and drive even more benefit for your business from a digital mailroom.

SO should your business opt for a series of point solutions on your digital transformation journey? You can if you like, but in my opinion deploying a digital mailroom solution first is an excellent way to create a sustainable and scalable platform to deliver widespread digital transformation within your business? With a clear return on investment (ROI), the ability to get more use and increased benefit out of the MFP hardware that you are already paying for, and an environmental story all thrown in – what are you waiting for?
