The challenge of transforming and optimising processes

An astonishing 70% of Business transformation projects fail to deliver on expectations (Mckinsey). At the same time, businesses face constant pressures to innovate faster and evolve their operations to offer new services and value to customers.

Organisational processes and operations can be complex and even more difficult to change. Business Process transformation projects fail to deliver for many reasons. However, irrespective of the nature of change, greater success rates in process and operational transformation can be ensured through the following:

  • Embracing the principles of process management best practice which supports operational excellence and robustness across People, Process and Technology.
  • Project Managing any transformation from initial planning through implementation and transition to Business As Usual (BAU).

50% of all business processes can and should be automated.

What is Process Management?

Process Management is about optimising and enhancing transactional through to knowledge or case processes and their controls. Whilst greater efficiency is a natural objective when managing processes, effective process management offers a wide range of benefits beyond efficiency i.e governance, visibility, control etc.  Process Management can include technology enabled improvements such digital workflows or automation but it is not limited to this and its key focus is on improving and managing the processes themselves.

At the heart of Process Management best practice is Business Process Management (BPM) which is a set methods and software used to deliver business process improvements and excellence. BPM includes best practice methods and industry standards (i.e BPMN) for defining processes, discovering processes through to approaches for optimising, automating and measuring processes.

Business process transformation projects benefit from the robustness of a Business Process Management (BPM) approach that delivers robust operations and sustainable change across people, process and technology.

Elements of Process Management

Process management consists of 5 broad components to cover the lifecycle of a process. Business Process Management Suites or Solutions are designed to facilitate and digitise these

Streamline your processes

Discovery Assessment & Design

This essential stage identifies existing processes, interdependencies, agents and systems as well as captures business requirements, pains and goals. Often this stage is carried out by a qualified Business Process Analyst. It typically covers strategic and project objectives through to operational procedures and specifics such as SLA notifications, rules, interactions between systems and humans. It should be an accurate view of the “as-is ”situation, capture the perceived gaps, and propose the “to be” which will include aspirational processes and designs.

informed decisions

Process Modelling

During this stage the proposed process is formally designed, mapped & “engineered” into a working and managed process. It is proto-typed and tested against the customers’ expectations as well as against a number of variables and “what-if scenarios” to model different possibilities and circumstances. BPM software and standards such as BPMN can be used to facilitate this process of digitally mapping the end of end process and all its components

Centralise your information

Execution

BPM software can also be used to execute and govern manual, part or fully automated workflows and processes as described in the BPMN format and according to any logic and rules defined. See later on for BPM Software

Project Management

Monitoring

Process monitoring is an essential component of BPM and key for live status visibility, trouble shooting, rapid responses to challenges or bottlenecks as well as KPI or Performance Management. Monitoring is also the foundation for predictive modelling or forecasting. These BPM principles can applied to any managed process or workflow ie. Performance or status of a processed invoice/s or order/s. ie. On boarded staff or student. Application, contract, case, QA process etc.

Optimisation

BPM also provides a solid foundation for optimising managed processes in a controlled and governed manner based on the monitored data and insight. This is a formal and iterative process that forms a natural part of any continuous improvement process that looks for new value through process improvement analysis to remove bottlenecks, increase efficiencies and savings etc
