OnBase Mobile Access

Each of the OnBase mobile applications are developed within their native operating systems (e.g. Apple iOS, Android etc). This enables the applications to provide a user experience consistent with the platform as a whole, whilst supporting standard file formats including images, text, Office documents, PDF and HTML.

The Mobile App Broker provides an extra layer of security, allowing server mobile access to be hosted on a separate machine from the rest of the solution


OnBase Mobile Access provides employees with easy access to OnBase documents and processes, whilst they’re on-the-go. Organisations can decrease overall processing time and simultaneously increase productivity by always keeping business processes and documentation at decision makers’ fingertips. Users can perform searches, view documents and keywords, and add, edit and delete document notes – even execute business decisions – all from their device, without requiring online access from a computer.

Unity Briefcase

The Unity Briefcase gives employees based in the field, or that are required to travel, portable offline access to OnBase documents, forms and features. When disconnected from the OnBase system, Unity Briefcase users can still update or add notes to documents, create new electronic forms and upload photos. Documents taken offline for field use are still available to onsite OnBase users. When back in the office, field staff simply synchronise offline documents back into OnBase – and their business process workflows – all with the notes and document revisions properly annotated.

  • Create and edit OnBase documents and forms, while offline, capturing data electronically at the start of a business process.
  • Perform ad-hoc scanning and document capture from cameras and other storage devices while offline.
  • Identical offline view of Keywords, notes and annotations in the same format as non-mobile employees
  • AutoFill Keyword Sets are available to automate indexing for new documents and forms created offline.
  • Synchronisation instantly inserts documents into Workflow
  • Provide offline access to OnBase documents and processes for disconnected, field workforces.

Outlook Integration

Integration for Microsoft Outlook allows an Outlook user to interact with OnBase content and Workflow processes through their familiar Outlook interface. This integration provides users with multiple methods for importing e-mails and any associated attachments as documents, including drag-and-drop to an Outlook folder with automatic indexing using mail message field mappings. Users can also retrieve OnBase documents directly through Outlook, increasing user adoption and reducing training costs.

  • Import e-mail and attachments into OnBase as documents, with upload preview, while automating the index process.
  • Retrieve documents stored in OnBase directly via the Outlook interface – combining date, keyword and full-text search.
  • Integrated Workflow experience provides ad-hoc tasks, user interaction and related documents right from the notification (message) ribbon.
  • Automatic Document Type and keyword assignment using MAIL, Static and Mapped Keyword values.
  • Attach OnBase documents to e-mail messages directly from the message ribbon.
