ProcessFlows helps Blackpool Council Stay Mobile

Electronic Faxing Technology ensures that Blackpool Council’s Mobile Working Practices are Secure and Compliant

As part of their Cultural Change Programme, Blackpool Council is introducing a more flexible working strategy for staff, which enables them to access information from their desktop or web enabled device and work more effectively from home, other offices, or out in the field.

Sue Whalley, ICT Senior Manager, at Blackpool Council explains why this change made them look closely at their print capability;

“We undertook a procurement exercise to renew the Council’s Corporate Printing Contract. The plan was to decommission our existing end-of-lease print devices and introduce the use of shared Multi Function Devices (MFDs). These could be integrated with print management software to provide a safe, remote printing environment for our employees.”

Konica Minolta became the Council’s new managed print partner. They provided MFDs integrated with print management software which gives Blackpool Council complete control of their print function and secures the print operating environment so it can’t be compromised.

Sue was made aware that Konica Minolta MFDs could also be integrated with network fax technology, OpenText RightFax, to provide the same electronic, secure, auditable environment for all of their faxing.

Konica Minolta worked with Partner ProcessFlows, to integrate RightFax software, so network faxing can be carried out from the MFDs and desktops.

The fax solution can enable outbound documents to automatically be sent to a line manager for approval, or to a recipient on an approved fax number address book, removing any risk of sensitive documents being sent to the wrong recipient.

RightFax also automatically routes incoming documents to a network folder or an email account, eliminating the risk of paper documents being left on fax machines. For departments such as Social Services, this is a real benefit as the risk of ICO fines for misplaced fax documents is virtually eliminated.

When asked about their fax cost-savings, Sue commented; “We were previously on an analogue system with converters to digital. This would have been due for replacement in the not too distant future. RightFax has saved us this cost.”

The solution is being adopted Council-wide as part of the Corporate Print Transformation Programme.
